Let's talk about something that I see trip up so many people who are just starting out — and honestly, even some who've been in business for a while. That thing is content planning.

I know, I know. Just the phrase "content planning" can make your eyes glaze over. But stick with me here, because once you get this system down, I promise you it is going to change the game for you.

Here's the truth: content planning is not optional. It is one of those tasks you simply cannot run a business without in today's world.

And the problem I see over and over again is that business owners — good, smart, hardworking people — are just posting randomly. Like, all kinds of stuff. Some of it is somewhat related, and sometimes it's totally random. Then they wonder why nothing is working. Sound familiar? If it does, you're not alone.

Why Posting Randomly Is Costing You

When you post randomly, a few things happen — and none of them are good:

  • You can't figure out what's working with your audience and what's not
  • You show up inconsistently, which tells your audience they can't rely on you
  • You waste time and mental energy trying to come up with ideas on the fly
  • You end up selling too much or going too quiet — neither one builds trust

Consistency is everything online.

And here's the thing — being consistent doesn't just mean showing up every day. It means showing up with purpose.

You'll fall into one of three categories. You're going to be consistently good, consistently mediocre, or consistently not getting results.

Your results will tell you which one you fall into, and then you can actually do something about it.

When you have a repeatable system, you get consistent results — and consistent results give you data. Data tells you how to improve. That's how you grow.

What Your Content Should Actually Be Doing

A lot of people think content = selling.

But if you're out there pitching your products every single day, your audience is going to tune you out fast.

Your content needs to do three things in addition to selling:

  • Create Awareness— Help people discover you and understand what you do
  • Educate — Share helpful information that solves real problems for your audience
  • Engage — Answer questions, handle objections, and start conversations

When you do all three consistently, you build trust. And trust is what turns followers into buyers.

Introducing the Content Planner Coach

So here's the good news: you don't have to figure all of this out on your own.

We put together a tool called the Content Planner Coach, and it is designed specifically to help you jump-start your content planning journey — even if you have no idea where to start.

The Content Planner Coach gives you four built-in conversation starters to work from:

  • Help me build a weekly content plan for social media
  • I want to promote my product next week — what content should I use?
  • Give me ideas that align with my brand
  • Use a social media success guide to plan my content

These are great starting points if you're newer to AI tools or prompting. And if you have your own ideas, you can absolutely enter your own prompts. The tool will work with whatever you give it.

Pro Tip: If you've already built out a basic business plan with your product, niche, and target audience, copy and paste it right into the tool before you start prompting. That's the context the AI uses to give you results that actually make sense for YOUR business.

Here's What a Real Weekly Plan Looks Like

Let me show you how powerful this is. I used this prompt with the Content Planner Coach:

[attach your business plan] "Using the information I've given you so far, please provide a weekly content plan that I can use to consistently communicate with my audience of [fill in your target audience] business owners in the [fill in your niche] B2B Services niche. Research current trends and hot topics from the week and include those in my plan. Please help me highlight the tools I should use to make the most of my time, while helping me create persuasive, helpful, and engaging content for my audience."

Watch the Video to See What Came Back

And here's what came back: a complete, day-by-day content plan built around a single weekly theme — in this case, "Work Smarter, Not Harder: Building a Business that Uses AI Without Losing the Human Touch."

Every day had a purpose. Every post had a direction. And it even included a weekly lead magnet idea — a free download tied to the theme that I could share with my audience. That is what a real content strategy looks like, and it took minutes to create.

The Power of Batch Processing

Here's my favorite part of this whole system: Content Day, better known as batch processing day.

Instead of sitting down every single morning trying to figure out what to post, I pick one day a week — my content day — and I knock it all out at once. I use my AI-generated plan, add my unique spin and personality to it, and I'm done for the entire week.

If you decide to use this method, you can even break it into two sessions:

  • Session 1: Select a topic and related product for the week. Write all your captions, scripts, blog content, email copy, and brainstorm video ideas
  • Session 2: Create your graphics, record a long form video about the topic, and shoot a variety of photos, (sized for social) of your products and create mock ups, including talking avatars
  • Session 3: Once you've recorded your video, upload it, separate the audio file and turn it into a transcript. Break your video and transcripts into the following:
  • Instagram Stories
  • Email Messages
  • A Podcast Episode
  • Blog Posts
  • Other Social Posts
  • Short Videos
  • Pinterest Pins
  • LinkedIn Posts
  • Audiograms
  • An Infographic
  • Session 4: Schedule social media to Facebook, Instagram and Pinterest using Tailwind. Schedule using Buffer for other platforms. Schedule your emails using your email marketing provider. Link followers and subscribers to your blog post, podcast and videos with a persuasive call to action.

When you work this way, showing up online stops feeling like a burden. You've already done the thinking. Now you're just executing. And that is how you go from overwhelmed to in control.

Imagine doing your entire week of content in one focused day — and then being done. That's what this system makes possible.

The Tools We Use to Make It Happen

While we're here, I also want to shout out a few tools we personally use to create content efficiently, because this is a team sport and the right tools make all the difference:

  • Bandicam — Great for screen recording. It separates your video and audio files so you can upload to YouTube and repurpose the audio for podcasting or other audio content.
  • Yeti Microphone — Gives you that crisp, professional sound even with background noise. It's a game-changer for video and audio quality.
  • Adobe Podcast — Records, separates, and transcribes your audio and video content. Once it's transcribed, you can copy and paste that text into any format you want — blog posts, social captions, emails, you name it.

(Quick note: I'm not affiliated with Adobe Podcast or Bandicam. I have linked my Amazon store to my mic and would appreciate it if you use my link but its not required. I  genuinely love them and use them all myself!)

Your Next Step: Stop Waiting, Start Planning

Here's what I want you to take away from all of this: you don't have to have it all figured out to get started. You just need a plan and the right tools to help you build it.

The Content Planner Coach is available in our shop. It's a one-time purchase with unlimited uses — meaning you can come back to it week after week, season after season, as your business grows and evolves. Use it to plan a product launch. Use it to brainstorm content for a new offer. Use it every single Monday morning to set your week up for success.

The businesses that win online are not the ones that post the most. They're the ones that post with intention, consistency, and a plan. That can be you.

You've got this. Now go build your plan — and I'll see you on the next one. Have a wonderful day!

And if this post helped you, please share it (buttons are at the top of the page) with a fellow business owner who could use a little direction.
